Market Trader Terms & Conditions
These Terms & Conditions apply to all businesses trading at Petallica Eco Market. By accepting a trading space, you agree to comply with the following conditions.
1. About the Market
Petallica Eco Market is held at Petallica Flower Farm, Killan Road, Dunvant, Swansea SA2 7US. Our aim is to create a welcoming market that supports small local businesses while promoting sustainability, ethical production and community.
As a social enterprise, we carefully curate each market to ensure a diverse range of high-quality traders and products.
2. Eligibility
Our markets are open to small businesses across Swansea and South Wales whose products or produce demonstrate consideration for their environmental and social impact.
Examples include businesses that:
- use ethically sourced materials or ingredients
- minimise waste through small-batch production
- reduce or eliminate single-use plastics
- produce handmade, locally made or sustainably sourced goods
- promote environmentally responsible practices
Submission of an application does not guarantee a place.
3. Allocation of Pitches
Pitch allocations are made by Petallica.
We carefully curate each event to ensure a balanced mix of traders and avoid duplication of products.
Because of the number of applications received, we cannot guarantee:
- acceptance onto the market
- allocation for every date requested
- a specific pitch location
- a covered pitch
All allocation decisions are final.
4. Pitch Fees
Pitch fees must be paid in advance to secure your booking.
Current fees are published on trader application forms and booking correspondence.
Where applicable, Petallica may operate a "Pay What You Can" option to support small businesses that would otherwise be unable to participate.
Failure to pay by the requested date will result in your place being offered to another trader.
5. Cancellations
Trader cancellations
If you can no longer attend, you must notify Petallica at least 5 working days before the market.
If you cancel:
- more than 5 working days before the event, your payment will be refunded less a £5 administration fee
- fewer than 5 working days before the event, no refund will be issued
Cancellation by Petallica
The market will normally proceed in wet weather.
However, Petallica reserves the right to cancel the market where severe weather, high winds or other circumstances create a health and safety risk or make the event impossible to operate.
Where Petallica cancels the event, traders will either:
- receive a full refund, or
- be offered an alternative market date where possible.
6. Arrival and Set Up
Traders may arrive from 8:30am. The latest arrival time is 9:30am. Traders may be refused entry if they arrive after this time. Traders must be set up and ready 10:00am.
The market opens to the public at 10:00am and closes at 2:00pm.
Unless completely sold out, traders are expected to remain trading until the market closes.
7. Vehicles and Parking
Trader parking is provided on site.
Vehicles should be unloaded promptly and then moved to the designated trader parking area unless the vehicle forms part of the trading pitch (for example, coffee vans or catering vehicles).
Please follow all directions given by Petallica staff.
8. Equipment
Unless otherwise agreed:
- traders must supply their own gazebo
- traders must provide their own tables and display equipment
- traders are responsible for ensuring all equipment is safe, stable and suitable for outdoor use
Covered pitches are limited and cannot be guaranteed.
If your products require protection from weather or sunlight, it is your responsibility to provide suitable shelter.
9. Electricity
Limited electrical pitches are available.
These must be requested in advance and will incur an additional fee.
Traders must bring their own extension leads. Extension leads and electrical equipment must be safe and fit for purpose.
10. Wi-Fi
Wi-Fi is available on site; however, Petallica cannot guarantee signal strength or uninterrupted service.
Traders should ensure they have alternative payment methods available where possible.
11. Insurance
All traders must hold valid Public Liability Insurance throughout the event.
Evidence of insurance may be requested before trading.
Petallica accepts no responsibility for injury, illness, allergic reactions, damage or loss arising from products sold by traders.
12. Food Traders
Food businesses must:
- hold all required registrations and licences
- comply with all current food hygiene legislation
- display their Food Hygiene Rating certificate where required
- comply with any instructions issued by Environmental Health
Traders are responsible for ensuring food is stored, prepared and served safely.
13. Health & Safety
Each trader is responsible for the health and safety of:
- themselves
- their staff
- their customers
- their stall
Traders should have an appropriate risk assessment for their activities.
Cooking equipment, gas appliances and heat sources must be safely positioned away from gazebos and flammable materials.
All equipment must be maintained in a safe condition.
14. Site Rules
Petallica Flower Farm is a working farm.
For everyone's safety:
- flowers, foliage and plants must not be picked
- access to flower fields, paddocks and polytunnels is prohibited unless authorised
- farm equipment and tools must not be touched
- care should be taken on uneven or muddy ground
Please help us protect the farm for future visitors.
15. Sustainability
Petallica Eco Market celebrates businesses making positive environmental choices.
We encourage traders to:
- minimise packaging
- avoid unnecessary single-use plastics
- recycle wherever possible
- use sustainable materials
- operate in an environmentally responsible way
While these are encouraged principles, Petallica reserves the right to refuse traders whose products do not align with the values of the market.
16. Conduct
We ask all traders to:
- behave professionally and respectfully
- create an inclusive and welcoming atmosphere
- avoid aggressive selling techniques
- treat fellow traders, volunteers and visitors with courtesy
Petallica reserves the right to ask any trader to leave if their behaviour is abusive, unsafe or detrimental to the event.
17. Liability
Traders participate entirely at their own risk.
Petallica accepts no responsibility for:
- theft
- loss of stock
- damage to equipment
- loss of earnings
- weather-related damage
- interruption to trading
Traders are responsible for arranging appropriate insurance.
18. Photography
Photographs and videos may be taken during the event for promotional purposes.
By attending, traders agree that images of their stall or products may be used by Petallica across its website, social media and marketing materials unless they notify us in advance.
19. Communication
All market correspondence will be sent to the email address provided during application.
Please check your junk or spam folder regularly if you are expecting communication from us.
20. Acceptance
By accepting a pitch and submitting payment, traders confirm that they have read, understood and agree to abide by these Terms & Conditions.
Failure to comply may result in removal from the event and refusal of future applications.
