Terms & Conditions: Wedding Flowers

These Terms & Conditions apply to all wedding flower orders placed with Petallica Flower Farm (“we”, “us”, “our”). By paying a deposit and confirming your booking, you (“the customer”, “you”) agree to the following terms.

1. Booking & Deposit

1.1 A non-refundable booking deposit of 20% of the total quoted amount is required to secure your wedding date.

1.2 No booking is confirmed until the deposit has been received.

1.3 Quotes are valid for 14 days unless otherwise stated.

1.4 The deposit forms part of the final balance and is not an additional fee.

2. Final Balance

2.1 The remaining balance must be paid in full no later than one calendar month before the wedding date.

2.2 If payment is not received by the due date, we reserve the right to cancel the booking and retain the deposit.

2.3 We reserve the right to refuse delivery or installation until full payment has been received.

3. Flower Availability & Substitutions

3.1 Flowers are seasonal and subject to availability, weather conditions, crop failure, transport issues and other circumstances beyond our control.

3.2 We reserve the right to substitute flowers and foliage with varieties of similar colour, style and value where necessary.

3.3 Whilst we primarily use flowers grown on our farm, we reserve the right to source flowers and foliage from other UK growers or trusted suppliers if required.

4. Changes & Cancellations

4.1 Minor amendments may be possible up to six weeks before the wedding date, subject to availability.

4.2 Significant changes to the original brief may result in revised pricing.

4.3 If the customer cancels the booking:

  • The 20% deposit is non-refundable.
  • Cancellations within 30 days of the wedding may be charged up to 100% of the total booking value, depending on work completed and materials purchased.

4.4 In the unlikely event that we are unable to fulfil your order due to illness, accident, extreme weather or circumstances beyond our control, liability shall be limited to a refund of monies paid.

5. Delivery, Collection & Installation

5.1 Delivery and/or installation fees will be agreed in advance.

5.2 Once flowers have been collected by or delivered to the customer or venue, responsibility for their care passes to the customer or venue.

5.3 We are not liable for damage, deterioration or loss caused by:

  • Incorrect storage or handling
  • Exposure to heat, cold, direct sunlight or adverse weather
  • Lack of water
  • Mishandling by guests, venues or third parties
  • Failure to follow care instructions

5.4 Flowers should be kept in fresh water and away from direct heat, sunlight and drafts wherever possible.

6. Hired Items

6.1 Any hired items, including but not limited to vases, vessels, urns, candle holders or props, remain the property of Petallica Flower Farm.

6.2 All hired items must be returned to our farm within seven days of the wedding unless otherwise agreed in writing. This includes jars, boxes or buckets used to transport arranged flowers such as bouquets and buttonholes.

6.3 Any hired vases or vessels used as part of a DIY flower package must be cleaned before return.

6.4 The customer is responsible for loss, theft or damage to hired items and may be charged the replacement cost where necessary.

7. DIY Wedding Flowers

7.1 DIY flower buckets and arrangements are supplied on the understanding that flowers are a natural product and may vary in colour, size, shape and longevity.

7.2 Care instructions provided must be followed carefully. This includes keeping the flowers in water and in a cool, dry place for fresh flowers. Dried flowers must be kept in a dry place, away from water.

7.3 We cannot accept responsibility for the quality or longevity of flowers once they have been arranged, transported or handled by the customer or third parties.

8. Safety

8.1 Flowers, foliage, berries and other plant materials should be assumed to be toxic and must not be eaten.

8.2 Customers are responsible for ensuring flowers and plant materials are kept away from children and pets where appropriate.

8.3 Candles, naked flames and other heat sources must not be placed near flowers or foliage due to fire risk and heat damage.

8.4 We accept no liability for injury, illness, allergic reactions, staining or damage caused by misuse of floral products or failure to follow safety guidance.

9. Photography

9.1 We reserve the right to photograph our work for promotional purposes, including use on social media, websites and marketing materials.

10. Force Majeure

10.1 We shall not be liable for failure or delay in performing our obligations where caused by events beyond our reasonable control, including but not limited to severe weather, natural disasters, pandemics, transport disruption, supplier failure or government restrictions.

11. Acceptance of Terms

11.1 Payment of the booking deposit confirms acceptance of these Terms & Conditions.
