Wedding terms and conditions
Deposit
To confirm your booking we require a 20% non-refundable deposit, which will be redeemed against the total cost of your wedding flowers in your final invoice. Your booking is based on Petallica Flower Farm providing the flowers listed in the quotation document. The minimum order value for Bank Holiday, Friday, Saturday and Sunday weddings, is £500.
Price variation
Prices in the quotation proposal should be taken as a guide. Should the price of the supplies or components for the intended final design of the product or service rise significantly, I will notify you as soon as possible and pass this cost on to you or discuss alternatives.
Consultations
Your booking includes a free initial personal consultation. Additional 1 hour face-to-face consultations are available at a rate of £40 per consultation. A complimentary venue visit may be arranged, if required, for orders with a value of £1,000 or greater. Please ask if you would like to arrange this. We reserve the right to charge an additional fee of up to £100 if, following further consultations, your requirements change considerably and require a new specification and additional quotation to be drawn up. This charge is to cover the admin time involved.
Payment and cancellations
You must finalise your order at least 10 weeks before the date of your wedding. Final payment is due in full at least 8 weeks before your wedding date. No refund will be given for any cancellation either in full or in part for your order after the final payment has been made. If payment is not received in full in advance of the wedding date, the order will not be fulfilled.
Flowers
You have chosen to use seasonal flowers for your wedding and we will use the best blooms from our farm for your order. However, we reserve the right to source flowers from other growers, or substitute varieties in terms of colour, quality and style. We cannot guarantee specific flower varieties due to potential unforeseeable circumstances, such as crop failure or severe weather conditions.
Equipment and Containers
All containers remain the property of Petallica Flower Farm unless otherwise specified in this quotation. A refundable deposit (from £20, dependent on the total value of items being hired) will be paid at the same time as your final payment. Your deposit will be refunded as soon as all items are returned in good order. Damage or loss exceeding the value of the deposit will be charged at the rates stated in your quotation document and will be payable immediately on receipt of invoice. Hired items should be returned to Petallica Flower Farm, Killan Road, Dunvant, SA2 7US within 48 hours of the wedding or on a date agreed by yourselves and Petallica Flower Farm, in writing, prior to your wedding. Collection of hired items from the venue can be arranged at additional cost.
If you are providing your own containers, please ensure that they are watertight and clean prior to delivering them to me. If containers are received by Petallica Flower Farm and are found not to be clean, a cleaning surcharge of £5.00 per item will be invoiced and payable prior to delivery of your wedding flowers. Containers must be received 7-10 days prior to your wedding date.
IMPORTANT: Please check that any containers you are supplying are equivalent in size to those upon which your quotation is based. If in doubt, please ask for specific dimensions. This is important as the proportions needed to make the flowers suit containers can dramatically affect the size and cost. Petallica Flower Farm reserves the right to charge an additional fee if larger arrangements are needed to fit the containers supplied, or to substitute Petallica Flower Farm containers and charge the stated hire fee. Petallica Flower Farm does not accept responsibility for your property and items are left with me at your own risk.
Liability
If you choose to include candles or other naked flames in your floral displays, these will be your responsibility. Petallica Flower Farm will not bear any liability for any damage or injury resulting from the use of real candles as Petallica Flower Farm representatives will not be present to supervise their safe use throughout the day. Petallica Flower Farm recommends that all candles should be enclosed in lanterns or tealight holders and should not be left unattended at any time when lit.
All flower displays are for ornamental purposes ONLY. For the purpose of safety, all flowers should be considered toxic and potentially harmful if consumed and appropriate medical attention should be sought in this event.
If you choose to move flower displays from one location to another during the course of your wedding but opt not to retain my services for the day to do so, Petallica Flower Farm will not be liable for any damage to property or for any injury arising to persons occasioned during or subsequent to the relocation of the flower displays.
The client shall indemnify and keep indemnified Petallica Flower Farm against any costs, losses or liabilities incurred by Petallica Flower Farm however they arise, as a result of any breach of these terms by the client or their agent(s).
Unforeseen events
Whilst I agree to use my reasonable endeavours to ensure that Petallica Flower Farm is fully operational and error free I cannot always guarantee this. There are certain situations or events which may occur which are not within my reasonable control. Examples include but are not limited to:
sudden ill health
adverse weather conditions, acts of God
industrial action, public disorder
road traffic accident or severe traffic delays which may make it impossible or unsafe for me to perform any of the services
where Petallica Flower Farm is unable to gain access to the venue to carry out the services at the times and dates agreed
where Petallica Flower Farm has to wait for other providers of services who have been engaged by you to complete their work before I am able to perform my services.
If we are unable to personally complete or deliver your event due to ill-health or other circumstance beyond our control, then this will be completed by a member of our experienced freelance team or outsourced to another appropriate florist.
Ultimately Petallica Flower Farm cannot accept responsibility for events outside its control and if we are prevented from providing our service or product as agreed then we can only offer a refund of monies paid. In the event of any dispute, the value of any compensation or refund will not exceed the value of the goods ordered.
By accepting a quotation and paying your deposit invoice, you are thereby accepting the terms and conditions above.
